Automation · Dubai

Remove the work thatshould never have beenon a human's desk.

Automation fails when it is bolted onto a broken process. We fix the process first — the data model, the stages, the definitions — then automate what is genuinely repeatable and leave judgement with humans.

In short

A marketing automation agency in Dubai designs and implements the systems that run marketing without manual effort: CRM architecture, lifecycle workflows, lead routing and reporting automation. Magnetic Keys builds on HubSpot, Salesforce, Bitrix24, Klaviyo and n8n, with WhatsApp-first journeys suited to UAE buying behaviour. Implementations run 4–8 weeks from AED 35,000.

01Why teams call us

What usually goes wrong first.

01

CRM as a filing cabinet

Data goes in, nothing comes out. Stages mean different things to different people, so no report is trustworthy.

02

Leads going cold

Enquiries sit for hours. In a market where the first responder usually wins, that is the whole game.

03

Manual reporting

Someone spends two days a month assembling numbers that are stale by the time they are presented.

04

Disconnected stack

Ads, site, CRM and email each holding a different version of the same customer.

02What's included

Six workstreams. One accountable team.

Take the whole engine or a single module. Each one stands alone and compounds with the others.

01Foundations

Data model and CRM architecture

Before automating anything, we agree what a lead is, what a stage means, and where truth lives.

  • Lifecycle stage definitions agreed with sales
  • Object and property architecture
  • Deduplication and data hygiene rules
  • Source and attribution field standards
02Capture

Intake and routing

Every inbound captured, enriched, scored and routed in seconds regardless of which channel it arrived on.

  • Forms, WhatsApp, DM, chat and phone unified
  • Enrichment and ICP scoring
  • Round-robin and territory routing
  • Speed-to-lead SLAs with alerting
03Nurture

Lifecycle workflows

Behaviour-triggered sequences across the channels UAE buyers actually respond on.

  • Onboarding, nurture and win-back flows
  • WhatsApp and SMS alongside email
  • Branching on behaviour, not just time delays
  • Exit conditions so nobody gets stuck in a loop
04Sales ops

Pipeline hygiene automation

The CRM maintains itself so reps sell instead of typing.

  • Call recording to CRM note automation
  • Deal stage progression rules
  • Stalled-opportunity nudges
  • Personalised follow-up drafting
05Integration

Stack connection

One customer record, visible everywhere it matters.

  • Ad platform and offline conversion sync
  • Server-side tracking into CRM
  • n8n or Zapier orchestration between tools
  • Warehouse sync where the stack justifies it
06Reporting

Automated reporting

The numbers assembled and explained without anyone building a slide.

  • Live dashboards by function
  • Weekly Slack digest with anomalies flagged
  • Attribution reporting from source to won revenue
  • Alerting on threshold breaches
<90s

06Questions

Answered before you ask.

The things people actually ask before hiring a marketing automation partner.

01Which CRM should we use?

HubSpot for most growth-stage marketing-led companies, Salesforce where sales complexity or existing investment dominates, Bitrix24 where budget is tight and it is already in use across the UAE business. We recommend based on your team and process, not partner incentives.

02How long does a CRM implementation take?

Four to eight weeks for a marketing-focused build. The variable is rarely the software — it is how long it takes for sales and marketing to agree what a qualified lead actually is.

03Can you automate WhatsApp?

Yes, through the official WhatsApp Business API with proper opt-in and template approval. Given how much UAE buying intent moves through WhatsApp, leaving it out of automation is usually the single biggest gap in a stack.

04Will this replace our sales team?

It removes their admin. Notes, stage updates, follow-up drafting and chasing stalled deals get automated so the human time goes into conversations. Reps typically get back several hours a week.

05What if our data is a mess?

It usually is. Deduplication, normalisation and a hygiene ruleset are part of the implementation rather than a prerequisite — we clean as we build.

06Do you offer ongoing support?

Yes, on 30-day flex. Many clients take a lighter ongoing engagement for optimisation and new workflows once the core build is handed over.
